Terms of Use

These terms apply to the use of WineOS during the controlled early access / beta phase. They are not the final commercial terms of use and will be finalized prior to full commercial release. Use of the platform implies acceptance of these terms.

1. Scope and eligibility

WineOS is available to wineries and organizations participating in the early-access program, subject to approval by the platform team. Access is provided exclusively to invited or approved users (invited organizations, approved early access). In the future, paid users may also be supported for certain services (e.g. wine e-labels); this does not constitute a pricing commitment in this phase.

2. Nature of the service — Not a substitute for professional advice

WineOS is a tool for managing and tracking winemaking data. It does not replace professional, legal, tax or oenological advice. Users are responsible for verifying the accuracy of the data they enter and for consulting the appropriate professionals on legal and regulatory matters.

3. User responsibility for data accuracy

The user / organization is solely responsible for the accuracy and completeness of data entered into the platform, in particular data related to:

  • Wine lots and winemaking operations
  • Laboratory analyses and quality certificates
  • Inventory and stock movements
  • Shipments and deliveries (WAD — Wine Accompanying Document)
  • E-labels and EU / excise compliance data
  • Compliance reporting and cellar book entries

The platform provides structure and organization, but responsibility for the content remains with the user.

4. Beta-phase limitations

The following limitations apply during the early-access period:

  • Feature changes: features, UI and data model may change without prior notice.
  • No guaranteed availability: no SLA is provided for uptime. Scheduled downtime, maintenance windows and breaking changes may occur.
  • Backups: infrastructure-level backups are created, but no contractual restore guarantee is offered. In the event of a serious issue, the WineOS team will attempt operational restoration.
  • Test data: data entered into test / demo environments may be deleted or reset.

5. Data ownership

The winery / organization remains the sole owner of the data it enters. WineOS processes the data exclusively to provide the service, in accordance with the privacy policy and the future DPA. WineOS does not claim ownership over user production, analysis or inventory data.

6. Acceptable use

The following are prohibited:

  • Use of the platform for purposes unrelated to winemaking activity or winery management.
  • Attempts at unauthorized access to data of another organization or to infrastructure systems.
  • Entering false or misleading data for regulatory purposes.
  • Spam, abuse or any activity that may harm the platform or other users.
  • Reverse engineering, scraping or automated data extraction without permission.

7. Account security

Users are responsible for the security of their credentials (password, session). Staff invitations are controlled by the owner or administrator of the organization. Strong passwords and careful access management are recommended.

8. Suspension or termination of access

Access to an account or organization may be suspended or terminated for the following reasons:

  • Security (security breach, suspicious activity).
  • Violation of these terms (abuse, false data, unauthorized access).
  • Expiration of trial period or subscription, when the relevant feature is activated.
  • Request of the organization or account owner.

During the early-access period, suspension may occur without prior notice in case of security incidents.

9. Changes to the terms

These terms may be updated during the beta period. Material changes will be communicated by email or via the application. Continued use after such notice implies acceptance of the new terms.
