Additives, additions and stock

Receive additive purchase lots, record an addition against the right dose and volume, and keep stock and expiry under control.

An addition is two facts at once: a treatment applied to a wine, and a quantity taken off a shelf. WineOS keeps them in one record — the LOT gets its treatment history, the purchase lot gets its consumption — so the cellar log and the additive warehouse cannot drift apart.

What you will do

Register the additive batches you received, record an addition on a LOT with its dosage and calculation base, and use thresholds and the expiry filter to keep the warehouse honest.

Steps

  1. Open Additives → Additive stock and click New batch. Choose Single lot for one batch, or Supplier invoice (multiple lines) to register a whole delivery line by line.
  2. Select the commercial product (or type a product name and pick the active substance) and the supplier. The lot number is generated by WineOS.
  3. Fill in the traceability fields from the supplier document: supplier batch number, expiry date, invoice number and purchase date.
  4. Enter the received quantity and its unit, then the purchase cost — unit price excluding VAT with its price unit, or the total value; WineOS computes the other one.
  5. Save. The batch appears in stock with available equal to received, and a receipt movement in its history.
  6. To treat a wine, open the Additions tab and click New addition — or use Quick actions → New addition from a vessel, which pre-fills the LOT and the vessel.
  7. Choose the commercial product and then the purchase lot you are actually taking from the shelf, enter the dosage and its unit (g/hL, ml/hL, mg/L, g/L, or mass-based units such as g/100kg for grape mass).
  8. Check the calculation base volume. WineOS proposes the current LOT volume, the current vessel volume or the kilos of the pre-press operation, and you can enter the treated quantity manually. The required quantity is calculated as dosage × base.

What WineOS updates

  • The addition is written into the LOT history with its dose, unit and the volume it was calculated on.
  • Executing the addition writes a consumption movement and reduces the available quantity of the selected batch; reversing an executed addition restores it.
  • Stock is consumed from the specific batch chosen on the addition — there is no automatic allocation across batches. If the batch does not hold enough, the addition is refused as insufficient stock.
  • The unit cost recorded on the batch is the cost snapshot used when an addition consuming it is executed, which is what feeds cost views later.

Watching stock and expiry

Two read-only controls help you plan purchases:

  • Stock thresholds — a minimum quantity you define per additive, compared with the quantity currently available across its *active* batches. The tab marks each additive as below or within threshold.
  • Expiring soon (30 d.) — a filter on the stock list showing batches whose expiry falls within the next 30 days.

Both are views, not notifications: there is no banner or email, so open them as part of a weekly routine. Batch status is manual — an empty or out-of-date batch keeps counting as available until someone sets it to depleted or expired.

Practical example

You receive 25 kg of a bentonite product on one invoice line at €4.20/kg. A 3,600 L must LOT is fined at 40 g/hL: WineOS calculates 1.44 kg required, checks the batch has it, and on execution leaves 23.56 kg available with the treatment and its cost attached to that LOT.
